2. For what purposes do we process your data?

We process your personal data for the following purposes, pursuant to the lawful grounds indicated below:

1. Recruitment and Selection
We only use candidate’s personal data for recruitment and selection purposes. Unless required by law, we will not provide these data to other persons or bodies outside our organisation without your -the candidate’s- prior consent. Candidate’s data will be deleted at request, or when keeping your personal data is no longer required, but in any event after a period of five (5) years, except in the event the candidate explicitly consents to a longer storage of his/her personal data by us with respect to (other) possible future vacancies.
We collect information from you as a candidate directly when you upload your resume to our candidate portal or when you send personal information to us via email. By providing us as a candidate with your personal data (e.g. your resume), you explicitly consent to the processing of such data by us.
The type of candidate’s personal data that we process:
If you are a candidate in one of our recruitment processes, you are requested to submit relevant personal data, such as: name, contact details, education and career history and resume. Your resume may contain employment history, education, professional qualifications, memberships, details of papers written, references and/or referees.
If you are a candidate and provide us with information about other individuals, like details of referees, you must ensure they have consented to this.
If you act as a source and/or referee in a specific recruitment and selection process, we will process your basic contact information and we may also collect information regarding your credentials as a source, details of your relationship/knowledge of a candidate and your opinions of that individual. We may obtain this information directly from you or publicly available information.

2. Maintaining client and supplier relationships
For the proper performance by us of contracts and for maintaining a relationship with our clients and suppliers, we process contact details of contacts of our clients and suppliers. Pursuant to such contractual necessity, including taking steps before entering into a contract, we maintain a CRM system in which we process basic contact details for maintaining such relationships, including job titles and/or roles.
When you have indicated you would like to receive newsletter(s) from us, or when you are our client and we deem it is in our legitimate interest (e.g. marketing purposes), we may send email alerts and bulletins about our services. You can always unsubscribe from our electronic marketing messages by following the “unsubscribe” instructions included in our communications. Also, you may change your preferences and cease receiving direct marketing from us through your email account settings.

3. Website and Cookies
The primary purpose of our website is to provide you with information regarding our services. You may use our website to view and apply for jobs.
General data on our website visits, such as the most frequently requested pages, are tracked on our website without identifying visitors. The purpose is to be able to adapt the design of our website as much as possible to visitors’ requirements. Via our website, we process data relating to web behaviour. For this, we use cookies and Google Analytics. We collect anonymous user data through Google Analytics so that we can improve our services. We use Google Analytics to calculate website statistics, such as the number of unique visitors and sessions. This information is not shared with third parties and the IP address is anonymised.

3. Data protection and Storage

We do everything within our power to protect your personal data against loss and unauthorised use. Appropriate technical and organizational measures to protect your personal data against accidental or unlawful destruction or accidental loss, alteration, unauthorized disclosure or access and against all other forms of unlawful processing have been implemented by us. Also, we require our data processors to implement such appropriate technical and organizational measures.
Our staff that has access to personal data as part of their work are required to maintain confidentiality. We have entered into data processing agreements with third party suppliers, who act as ‘data processor’, such in accordance with applicable data protection laws.

6. The Recipients of your data

The following persons may receive your personal data:
a) we may share your data with third parties that provide database-, server-, maintenance-, security-, marketing-, IT- or other similar services to us, (hereinafter referred to as ‘data processors’). Data processors contracted by us always perform certain tasks relating to our business activities;
b) the contact person or persons at our client, if you are a candidate in one of our recruitment or selection procedures;

7. Transfer of data to countries outside the EEA

In certain cases, we will transfer personal data to countries outside the EEA, e.g. to our data processors. Such transfers take place in accordance with the relevant legal requirements, e.g. using EU model clauses.

8. Amendments and/or Modifications

We reserve the right to revise our Privacy and Cookie Notice from time to time. This may be the result of changed policy, changes in data processing or changes in the systems with which we process data. This is a continuous process.
